Terms of Service

Last updated: October 2026

These Terms of Service (“Terms”) apply to services provided by Gabadoo Limited, including services provided under the Gabadoo and My OT & Me brands.

By booking, purchasing, accessing or participating in one of our services, you agree to these Terms. Where a school, organisation or other third party purchases a service on behalf of an individual or group, that organisation is responsible for ensuring that relevant participants are aware of any terms that apply to them.

These Terms should be read alongside our Privacy Policy, Data Protection & GDPR Policy, Cancellation Policy and Refund Policy, where applicable.

Nothing in these Terms affects your statutory rights under Irish or applicable EU consumer law.

1. About Our Services

Gabadoo Limited provides a range of occupational therapy, speech and language therapy, education, consultation, training and related support services.

Depending on the service purchased, this may include:

  • online consultations for families, schools and organisations;
  • in-person clinic appointments;
  • occupational therapy and speech and language therapy services;
  • assessments and screenings;
  • school visits and consultation days;
  • autism class and learning-environment support;
  • assistive technology support and reviews;
  • training, webinars and professional development;
  • access to our online Education & Training Platform;
  • digital resources, videos, courses and supporting materials;
  • programmes and resources such as Octobox;
  • Gaba Plans and other personalised resources;
  • group programmes, Community of Practice sessions and workshops; and
  • consultancy, pilot projects, research collaborations and commissioned services.

The exact scope of a service will depend on what has been booked, purchased or agreed with us.

2. Clinical and Therapeutic Services

Our clinical and therapeutic services are provided by appropriately qualified professionals working within their professional scope of practice.

Our services may provide assessment, consultation, education, recommendations, intervention or ongoing support depending on the service booked.

Participation in a service does not guarantee a particular clinical, educational, developmental or functional outcome. Outcomes vary depending on the individual, their environment, opportunities for participation and a range of other factors.

Recommendations are based on the information available to the therapist at the time. Families, schools and other professionals should provide relevant and accurate information that may affect the service being provided.

Our services are not an emergency or crisis service. Where urgent medical, safeguarding or emergency assistance is required, the appropriate emergency, medical or statutory service should be contacted.

3. Children and Young People

Where services relate to a child or young person, bookings and consent should normally be completed by a parent, legal guardian, school or other person or organisation with appropriate authority.

Depending on the service, we may request consent or additional information before proceeding.

We aim to involve children and young people in decisions about their support in a manner appropriate to their age, communication preferences, understanding and circumstances.

Where a school or organisation commissions a service involving a child or young person, the school or organisation is responsible for ensuring that it has the appropriate authority and permissions to arrange the service and share relevant information with us.

4. Schools and Organisations

Schools and organisations may purchase services including consultation days, school visits, training, assessments, platform access, ongoing support and other commissioned services.

The person making the booking confirms that they have appropriate authority to make the booking on behalf of the relevant school or organisation.

The school or organisation is responsible for providing suitable facilities, access, relevant information and staff participation reasonably required for us to deliver the agreed service.

Where our therapists attend a school or other premises, we will follow reasonable site-specific health, safety and safeguarding procedures communicated to us.

The scope, duration and deliverables of commissioned or bespoke projects may also be governed by a separate proposal, quotation, service agreement or contract.

Where a separate written agreement has been entered into for a particular service, the terms of that agreement will take precedence in relation to that service where they differ from these general Terms.

5. Online Consultations

Online consultations are provided using appropriate video or communication platforms.

The person participating is responsible for having an appropriate device, internet connection and reasonably private environment where required.

We cannot guarantee uninterrupted availability of third-party internet, telecommunications or video services.

Where a significant technical issue prevents an appointment from proceeding, we will make reasonable efforts to continue through an alternative method or rearrange the appointment where appropriate.

Participants should not record consultations unless this has been agreed with the therapist in advance.

6. Appointments, Cancellations and Non-Attendance

Appointments are limited and therapist time is reserved specifically for each booking.

Cancellation, rescheduling, deposits, non-attendance and late cancellation charges are governed by our Cancellation Policy and, where applicable, our Refund Policy.

Where appropriate, we may offer to change an in-person appointment to an online appointment where attendance in person is not possible.

Please refer to our Cancellation Policy for the notice periods and charges that apply to different types of bookings.

7. Appointment Times, Delays and Professional Time

Appointments, consultations, school visits and other scheduled services have specific start and finish times.

We ask families, schools, staff and other participants to be ready to begin at the agreed time.

Late Arrival or Delays by Participants

Where a family, school, staff member or other participant is late or unavailable at the scheduled start time, the appointment may still need to finish at the originally scheduled time.

Our therapists often have other appointments or professional commitments immediately afterwards and may not be able to extend a session to make up for time lost because of a late start.

The full appointment fee will normally continue to apply where a session is shortened because the participant, family, school or organisation was not available at the agreed start time.

For school visits and other on-site services, delays caused by access to the school, staff availability, timetabling or other circumstances within the school may also reduce the amount of direct consultation time available.

Delays on Our Side

Occasionally, a therapist may be delayed because of a previous appointment, travel, an urgent clinical matter, technical difficulties or other circumstances.

Where the delay is on our side, we will make reasonable efforts to provide the full scheduled consultation time. However, there may be circumstances where the appointment still needs to finish at its original scheduled time.

Where a significant delay on our side materially affects the service provided, we will agree an appropriate way to address the outstanding time or work.

Depending on the service, this may include follow-up contact, completion of work outside the appointment, additional consultation time or rearranging part of the service.

Professional Time Outside the Appointment

The scheduled consultation or appointment time is only one part of the professional service provided by Gabadoo.

Depending on the service booked, our therapists may also spend professional time outside the scheduled appointment:

  • reviewing information, reports or previous notes;
  • preparing for the consultation or visit;
  • documenting the session;
  • developing or updating a Gaba Plan;
  • preparing recommendations or resources;
  • communicating with families, schools or other relevant professionals;
  • responding to appropriate follow-up emails; and
  • completing other agreed clinical or professional follow-up work.

For this reason, the fee for a consultation or service should not be understood as payment solely for the minutes spent face-to-face or online with the therapist. It reflects the overall professional service associated with the appointment.

Where substantial additional work is requested that falls outside the scope of the service booked, we will discuss this with you and, where applicable, agree any additional fee before undertaking that work.

8. Fees and Payment

Prices will normally be displayed or communicated at the time of booking, purchase or quotation.

Depending on the service, payment may be required:

  • in full before the appointment or service;
  • through an online payment provider;
  • by invoice;
  • through an agreed school or organisational purchasing process; or
  • through a deposit followed by payment of the remaining balance.

Certain services, including assessments, may require a booking deposit. Any applicable deposit and cancellation conditions will be communicated before or at the time of booking.

Where an invoice has been issued to a school, organisation or commissioning body, payment must be made within the payment period stated on the invoice.

Any applicable taxes or additional charges will be communicated where relevant.

9. Online Education & Training Platform

Access to our Education & Training Platform is provided for the access period specified at the time of purchase.

Unless otherwise stated, access is provided to the individual, school or organisation purchasing the service and may not be resold, publicly shared or distributed to unauthorised users.

Where a school or organisation purchases multiple-user access, account administrators may invite authorised members of staff in accordance with the package purchased.

Login credentials should be kept secure and should not be shared with people who are not authorised to access the subscription.

Courses, recordings, webinars and resources may be added, updated, replaced or removed as the platform develops.

We aim to maintain a high-quality and relevant learning library, but the exact content available may change during a subscription period as resources are updated and our services develop.

Certificates of completion may be available for certain courses. A certificate confirms participation in or completion of the relevant learning activity and does not constitute a professional qualification unless expressly stated otherwise.

10. Educational Content and Professional Development

Our courses, webinars, videos, resources and professional development materials are provided for education and general professional development.

They are not a substitute for individual clinical assessment, professional supervision where required, or the participant's own professional judgement.

Professionals remain responsible for practising within their competence and in accordance with their professional, regulatory and ethical requirements.

Information provided through recorded content reflects the knowledge, evidence and professional understanding available when that content was prepared. Practice and evidence may develop over time.

11. Intellectual Property

Unless otherwise stated, content produced by Gabadoo Limited remains the intellectual property of Gabadoo Limited or the relevant content creator or licensor.

This may include:

  • videos and recordings;
  • presentations;
  • worksheets and resources;
  • course materials;
  • graphics and illustrations;
  • Gaba Plans and templates;
  • programme materials;
  • website content;
  • training resources; and
  • other digital or printed materials.

Purchasing or accessing a service gives you permission to use the relevant materials for their intended personal, educational or internal professional purpose.

Materials may not be reproduced, resold, republished, uploaded to another platform, commercially distributed or substantially copied without our written permission.

Schools may use downloaded resources internally with their staff and pupils where this forms part of the intended use of the resource.

12. Recording of Webinars and Group Sessions

Certain webinars, training sessions, Community of Practice sessions or other group learning activities may be recorded.

Where a session is being recorded, participants will be informed.

Participants should be mindful of the information they share during recorded or group sessions and should not disclose identifiable or confidential information about children, families, clients or other individuals.

Where appropriate, recordings may subsequently be made available to registered participants or members of our learning platform.

Clinical consultations will not ordinarily be recorded unless this has been specifically agreed in advance.

Participants may not independently record, reproduce or distribute sessions without permission.

13. Confidentiality and Data Protection

We take confidentiality and data protection seriously.

Personal, clinical and other confidential information is handled in accordance with applicable data protection law and our Privacy Policy and Data Protection & GDPR Policy.

These policies explain how information is collected, used, stored, retained and shared, including information provided through our website, clinical systems, communications and digital services.

Where families, schools or professionals send reports, assessments or other personal information to us, they should take reasonable care to ensure that the information is being sent to the correct Gabadoo contact.

14. Research, Evaluation and Service Development

Gabadoo Limited may participate in research, evaluation, pilot projects or service-development initiatives with universities, colleges, healthcare organisations, public bodies or other appropriate partners.

Information collected during normal service delivery will not be provided to researchers in an identifiable form for research purposes without an appropriate lawful basis and, where required, explicit informed consent.

Where participation in a specific research project requires consent, participants will be provided with appropriate information about the study before deciding whether to participate.

Choosing not to participate in research will not affect access to our usual services.

15. Artificial Intelligence and Technology

We may use appropriate digital and artificial-intelligence tools to improve efficiency, support administrative processes, develop resources or assist our team in delivering services.

We do not intentionally submit identifiable client clinical information to general-purpose artificial-intelligence services that have not been approved for processing such information.

Professional judgement remains with the relevant therapist or member of the Gabadoo team. AI-generated material is not treated as a substitute for professional clinical decision-making.

Further information about how information is processed is available in our Data Protection & GDPR Policy.

16. Third-Party Services

We use third-party technology providers to support areas such as appointment management, payments, video communication, website services, email communication and online learning.

The availability of some aspects of our services may therefore depend on third-party systems.

While we take reasonable steps to select appropriate providers and maintain continuity, we cannot guarantee that every third-party service will operate without interruption.

17. Appropriate Use of Our Services

Users must not misuse our website, learning platform, consultations or other services.

This includes:

  • attempting to gain unauthorised access to systems or accounts;
  • sharing login credentials with unauthorised users;
  • copying or distributing protected materials without permission;
  • recording therapists or other participants without permission;
  • sharing confidential information about another participant;
  • disrupting webinars, groups or consultations; or
  • using our services for unlawful purposes.

We reserve the right to restrict or terminate access where there has been serious or repeated misuse, subject to applicable contractual and consumer rights.

18. Changes or Cancellations by Gabadoo

Occasionally, we may need to change an appointment, therapist, speaker, programme date, location or other aspect of a service because of illness, availability, technical issues or circumstances outside our reasonable control.

Where this occurs, we will make reasonable efforts to provide an appropriate alternative, rearrange the service or provide any refund or other remedy required under the applicable agreement and law.

For ongoing services, subscriptions and programmes, we may make reasonable changes to improve or update the service.

Where a material change significantly affects an existing paid service, we will communicate this where appropriate.

19. Limits of Responsibility

We will provide our professional services with appropriate care and skill.

However, we cannot guarantee specific outcomes from therapy, assessment, consultation, training, recommendations, programmes or educational resources.

Recommendations are provided based on the information available to us and the professional judgement of the therapist at the relevant time.

Families, schools and organisations remain responsible for deciding how recommendations are implemented within their own home, school, workplace or other environment.

To the extent permitted by law, Gabadoo Limited will not be responsible for losses arising from circumstances outside our reasonable control or from use of our resources or recommendations in a manner materially different from their intended purpose.

Nothing in these Terms excludes or limits liability where doing so would be unlawful, nor does anything in these Terms limit a consumer's statutory rights.

20. Complaints and Concerns

We welcome feedback and aim to address concerns fairly and promptly.

If you have a concern about a service, we encourage you to contact us as soon as possible so that we have an opportunity to understand and address the issue.

Clinical concerns may be referred to the appropriate Clinical Lead or Clinical Director where required.

Nothing in our internal complaints process affects any statutory rights or external complaint mechanisms available to an individual.

21. Ending or Refusing a Service

In exceptional circumstances, we may decline, pause or end a service where:

  • the requested service falls outside our professional scope or competence;
  • continuing the service would not be clinically or professionally appropriate;
  • there are significant safety or safeguarding concerns;
  • there has been serious or repeated inappropriate behaviour towards staff, therapists or other participants;
  • there has been serious misuse of our systems or resources;
  • required payments remain outstanding; or
  • circumstances make it unreasonable or impossible for us to continue providing the service.

Where appropriate, we will communicate the reason and provide reasonable notice.

Any payment or refund implications will be dealt with in accordance with the applicable agreement, our Cancellation and Refund Policies and applicable statutory rights.

22. Consumer Rights and Online Purchases

Where services are purchased online or at a distance, consumers may have statutory cancellation or withdrawal rights under Irish and EU consumer law.

The availability and extent of these rights depend on the type of service purchased and whether provision of the service or digital content has already begun.

Where a consumer expressly requests that a service begins during an applicable statutory withdrawal period, they may be required to pay for the portion of the service already provided.

In circumstances provided for by law, the right to withdraw may cease once a service has been fully performed with the consumer's prior agreement.

Nothing in our Cancellation Policy, Refund Policy or these Terms is intended to remove or restrict rights that a consumer has under applicable law.

23. Changes to These Terms

We may update these Terms from time to time to reflect changes to our services, technology, business operations or legal obligations.

The latest version will be published on our website together with the date it was last updated.

Material changes affecting an existing paid service or subscription will be communicated where required.

24. Governing Law

These Terms are governed by the laws of Ireland.

Nothing in this section limits any mandatory consumer rights regarding jurisdiction or applicable law.
